How to use OPTIMIZE

OPTIMIZE is built to turn a contractor's real capabilities into a focused operating system: find relevant demand, qualify it, build evidence, make contact, manage the pursuit, and learn from the outcome. The goal is not to stare at dashboards. The goal is to move good work toward revenue.

02 · FIRST 15 MINUTES

Configure the system before judging the results.

STEP 1Create your workspace

Use a real business/workspace name and an email you control. Your workspace separates your operating data from everyone else's.

STEP 2Complete Trade Profile

Select your primary trade, list services you actually perform, define your service area, and choose the contract market you want.

STEP 3Launch Radar

Run discovery after your profile is saved. Review the top-ranked signals first instead of treating every result as equally valuable.

STEP 4Save one real pursuit

Pick a result with plausible fit, inspect the source, then move it into your pursuit workflow so the rest of the system has something real to work with.

STEP 5Add a next action

Use CRM or Outreach to record the person, organization, message, call, or follow-up that moves the pursuit forward.

STEP 6Ask OPTI

Ask what deserves attention now. OPTI is most useful after the workspace contains real profile, contract, contact, and pursuit data.

Do not configure yourself as a “general everything company” unless that is genuinely how you operate. Broad inputs produce broad noise. Computers remain stubbornly literal creatures.

03 · DAILY OPERATING LOOP

A practical 10-minute daily routine

  1. Overview: check momentum, trial/account state, and anything requiring attention.
  2. Radar: refresh signals and inspect the best matches to your trade, geography, and target market.
  3. Contracts: qualify the strongest opportunities. Ignore work that is outside your capabilities, geography, margin, timing, or compliance comfort zone.
  4. Evidence: verify original sources and keep the source trail attached to important decisions.
  5. CRM / Outreach: make the next contact, record the interaction, and schedule the next move.
  6. Contract Desk: update status, scope, quote/proposal information, expected economics, and outcome.
  7. OPTI: ask for a prioritized next-action summary when the board starts getting crowded.
04 · FEATURE GUIDE

What every major workspace is for

Overview

Your command center. Use it to understand system status, momentum, profile readiness, and the operating model. The Trade Profile here is foundational because it tells the rest of OPTIMIZE what “relevant” means for your business.

Contracts

The qualification workspace. Review source, scope, location, customer type, timing, match score, and any evidence before you commit attention. Saving a contract should mean, “this may deserve time,” not merely, “a card existed on my screen.”

Radar

Your discovery engine. Radar is where new demand enters the system. Use your industry and service-area settings to keep the feed focused. A smaller feed of high-fit work is more valuable than a giant feed of nonsense.

Outreach

Use Outreach to move from research into contact. Keep outreach tied to a concrete pursuit, use verified contact information where possible, and record what was sent so the next follow-up has context.

Evidence

The source-of-truth layer. Use it to preserve URLs, observed facts, supporting records, and provenance behind contract and provider decisions. Evidence is especially important when the system is making or assisting with commercial judgments.

CRM

The relationship layer. Track people, organizations, conversations, calls, follow-ups, and tasks. A lead without an owner and next action is merely decorative data.

Contract Desk

The pursuit and commercial execution workspace. Use it for scope, pricing, quote/proposal activity, status, delivery planning, and economics. This is where a promising signal should become a managed business process.

Opportunity Exchange

Use the Exchange for private demand that may be routed to another capable provider. Respect the sharing permission shown on each lead. Customer identity and sensitive lead details should only move when permission allows it.

Market & AI Hub

Use the Hub to monitor market shifts, procurement changes, AI/software trends, competitor positioning, and external signals that may affect strategy. Treat research results as leads to verify at their original source before making material decisions.

Revenue Lab

Track monetization experiments as experiments. Record the move, expected upside, implementation cost, confidence, status, and actual revenue. “Expected” revenue remains imaginary until a customer performs the ancient ritual of paying you.

Integrations

Connect supported systems such as Jobber and configure the services that feed OPTIMIZE. OAuth connections belong here. API-key integrations are server-side secrets and should not be pasted into random front-end fields.

Billing

Shows your workspace entitlement and paid capabilities. This is where you move from trial access to the current Pilot, Core, or Pro commercial offer and manage billing when available.

Local contractor looking for work

Trade Profile → Radar → qualify local/commercial fit → save contract → verify source → identify buyer/contact → outreach → CRM follow-up → quote/proposal → Contract Desk → outcome.

Prime contractor routing private work

Capture demand → set sharing permission → Opportunity Exchange → generate contractor matches → review evidence → route to selected provider → track response/completion → record revenue/outcome.

Owner testing a new revenue idea

Market & AI Hub → identify evidence → Revenue Lab → define expected upside and cost → build/test → record actual impact → keep, revise, or kill the experiment.

07 · TRIAL & BILLING

Know which layer you are using.

New workspaces currently begin with a 7-day Pro trial. The Billing page shows the entitlement that is active for the workspace. Paid checkout is handled through Stripe, and access should change only after verified billing events reach OPTIMIZE.

08 · OPERATING RULES

Keep the system useful and commercially sane.

  • Verify original sources before committing money, making legal representations, or submitting bids.
  • Do not treat a government award as freely transferable. Review solicitation terms, award requirements, NAICS/small-business rules, and subcontracting limits.
  • Keep your Trade Profile current when your capabilities or service area changes.
  • Record outcomes, including losses. The system learns more from truthful outcomes than from an artificially perfect pipeline.
  • Respect sharing permissions in the Opportunity Exchange.
  • Keep secrets in server-side configuration, not in customer-facing fields or notes.
09 · TROUBLESHOOTING

When something is not behaving

Radar results are irrelevant
Revisit Trade Profile. Narrow services, geography, and contract focus before assuming the discovery layer is broken.
Buttons or live data stop responding
Refresh the app first. If the problem persists, confirm the app shows a live connection and retry after the current operation finishes.
An integration shows disconnected
Open Integrations and reconnect it there. Server-secret integrations may require configuration in Railway rather than the browser.
Paid features are still locked after checkout
Return to Billing and refresh. Entitlements rely on verified billing events, so a successful payment page alone is not the final source of truth.
You are not sure what to do next
Open OPTI and ask for the highest-priority next actions based on the current workspace.
